What our event staffing actually provides

The décor is photographed months ahead and the menu tasted twice, but the person who receives your guests at the door decides how the evening feels. Every crew is groomed, briefed on your list and led by a supervisor.

  • Staff assigned to stages of the guest journey, not only to shifts
  • Team sizes built from live RSVP data, not a headcount guessed in month one
  • A supervisor, a written brief and a venue walkthrough on every deployment

The roles you can book

Hire one role or a full hospitality unit. Every deployment ships with a named supervisor and a written brief.

Guest-relations executives

The front line: greet by name, walk families to seats and rooms, notice the guest nobody else has.

Hostesses

Anchor the entrance, receive dignitaries, manage photo lines and welcome drinks.

Ushers and entry

Open a second lane before the queue builds; move three hundred people without herding.

Hospitality desk team

Itineraries, keys, hampers, cab timings and medicines at midnight, in shifts round the clock.

Registration crew

Check-in against live RSVP data, badges, kits and counts, sized to the arrival curve.

VIP liaison managers

One manager per guest or family: airport reception, green room, protocol seating, quietly.

How many hospitality staff your event needs

A working ratio: one guest-relations executive per 40 to 50 wedding guests, plus desk and VIP staff. A starting point, not a rule.

Recommended team size per function
Guest countWedding hospitality teamConference and corporate team
Up to 1003 to 4 guest-relations staff plus a supervisor2 to 3 registration and floor staff
100 to 2505 to 8 staff plus a hospitality desk4 to 6 staff, cover at arrival peaks
250 to 5008 to 15 staff, desk plus VIP liaisons6 to 10 staff across registration lanes
500 to 1,00015 to 24 staff zoned by venue area, two desks10 to 16 staff plus zone supervisors
1,000 and aboveCustom plan, floor managers per zone, round-the-clock desksCustom plan modelled on arrival flow

Two things move these numbers more than guest count: how many guests are outstation, and how many venues the event spans.

From brief to event-day debrief

No minimum bundle. Bookings are confirmed on an itemised quote, not a package.

Desk, entry lanes and liaison points positioned with your planner before doors open.

05

Event day and debrief

Staff report early, in full grooming, under a named supervisor. A debrief follows.

Request a staffing quote

Send the date, venue and guest count; roles and rates come back within 48 hours.

What changes the cost of staffing

Quoted per person, per shift, and itemised. A twelve-hour wedding day and a six-hour conference are not the same job.

Shift length and call time

Early reporting, split shifts across two functions and overnight desk cover each add a line.

The role mix

A VIP liaison manager and an usher are not the same rate. Most rosters are a blend.

Functions and venues

Each ceremony and venue is staffed separately, with travel time between them.

Outstation and overnight cover

Travel, stay and night shifts are their own lines, never folded into a per-head number.

Season and date

October to March is peak. Trained staff are committed early, so late requests narrow the choice.

How much notice we get

Two to three weeks lets us pick the right people and brief them properly.

What a hospitality desk actually does

A staffed help-point beside the hotel reception, where guests collect itineraries, keys and hampers, confirm cab timings and reach a real person at any hour. Above 50 outstation guests it is the single biggest upgrade.

  • Itineraries and reminders as the schedule moves
  • Hamper and room-drop coordination against the rooming list
  • Cab timings and vehicle requests routed to 24/7 dispatch
  • A written overnight log, so the morning shift knows what happened at 2am

Booked by families, planners and hotels

You keep the client relationship; we field the front line, to your schedule and floor plan.

  • One named supervisor reporting to your producer or banquet manager
  • Roles, numbers, shifts, reporting times and rates agreed in writing
  • The same crew returned for repeat events wherever rosters allow

The team was brilliant and took up tasks without any hesitation. Looking forward to many more collabs.

Production partner

More than satisfied with your logistics service. The whole team was polite, friendly and welcoming.

Event client

Excellent service, very very happy, and definitely referring your name.

Corporate guest

Thanks for your help and support during our stay in Hyderabad. Your staff was also very cooperative and helpful.

Guest-relations executives, hostesses, ushers, hospitality desk teams, registration staff, VIP liaison managers and supervisors. All are groomed, briefed on your event flow and guest list, and work under our coordinators.

A working ratio is one guest-relations executive per 40 to 50 wedding guests, plus desk and VIP staff. A 500-guest wedding typically needs 10 to 15; conferences are sized to arrival peaks. We confirm numbers after seeing the venue and schedule.

Yes. Staffing is available standalone for weddings, conferences, exhibitions and private events. Planners and hotels book our crews to run guest-facing roles at their own events. Share the date, venue and guest count for team size, roles and rates.

Two to three weeks for a standard deployment, four to six weeks for October to March or teams above fifteen. Shorter notice is often workable, but the briefing and walkthrough get compressed.

Yes. Bengaluru is our hub; for events elsewhere in India our supervisors and hospitality leads travel with you and the on-ground team is built around them. Travel, stay and night-shift cover are quoted as separate lines.
