What our corporate event management actually runs

Most agencies can produce a stage, a screen and a run of show. Programmes strain somewhere else: the arrivals peak at the desk, the room block that no longer matches the list, the 1am drop nobody costed. That layer is our core business.

  • From 50-person offsites to multi-day conferences
  • 10,000+ guest and delegate RSVPs managed, with follow-up calls rather than a third reminder
  • 20+ hotel and venue partners for room blocks, day rates and conference space

Conferences, offsites and launches, run the same way

Three families of corporate event, one operating method: a tracked delegate list, a transport timetable, a hotel block that matches the list, and briefed people at every door.

Conferences & MICE

Conferences & MICE

Delegate registration and badging, speaker and jury logistics, room blocks for outstation delegates, session-to-session movement, and an attendance figure your organisers can read at any hour.

Offsites, retreats & town halls

Offsites, retreats & town halls

Venue scouting through 20+ hotel and venue partners, rooming lists, team travel in coaches, activity slots costed against real drive time, and on-ground coordinators, so HR runs the agenda and we run everything around it.

Launches, annual days & awards

Launches, annual days & awards

Product launches, annual days, award nights and dealer meets, with stage and branding décor, guest-relations staff, a separate VIP car protocol and return gifting at the door.

What each corporate format actually takes

Patterns we plan against, not rules. The one thing that cannot be compressed is the RSVP window.

Corporate formats, typical scale and hospitality load

Six moments a delegate remembers

Nobody talks about the run of show. They talk about the car that was waiting and the badge that was ready. Each hand-off is owned by a named coordinator.

01

Invitation and RSVP

Branded invitations by email and WhatsApp; non-responders get a call; travel and dietary notes captured in the same pass.

02

Arrival and transfers

Pickups timed to live flights, name boards at the terminal, each delegate marked off as they land.

03

Registration desk

Badges laid out before doors open, a desk staffed for the peak, a separate lane for exceptions.

04

Hotel block and rooming

Room blocks matched to live RSVP data; welcome kits and hampers in rooms before arrival.

05

Between the sessions

Published shuttle loops, staff at lifts and breakout doors, one coordinator on the VIP track.

06

Departure and wrap-up

Drops against flight times, gifts handed over, a wrap-up report with attendance and no-shows.

Moving 300 delegates without a queue at the porch

Airport transfers, hotel-to-venue loops and late-night drops planned as one timetable and dispatched from a single desk, with 150+ vehicles on call.

Arrival manifests

Every delegate listed with flight, car and coordinator, marked off at the terminal.

Published shuttle loops

Hotel-to-venue coaches to a timetable delegates can read, tightened before sessions.

Speaker and VIP cars

Vellfire for visiting leadership, Maybach for the chief-guest arrival, each with its own porch slot.

Late-night drops

The last car of the night dispatched and tracked, not left to whoever is still awake.

Explore event transportation

What moves the number on a corporate quote

We cannot price a programme we have not scoped. These are the variables that move it, and in which direction.

Delegate count, and how many travel

Fifty local delegates and fifty flying in are two different events: room nights, transfers, a travel desk.

Days, venues and moves

Every extra day adds shifts and vehicle-days; every extra venue adds a move.

Hotel nights and category

Usually the largest single line in a residential programme.

The shape of the transport

Shuttle loops carry many delegates per vehicle-day; dedicated cars do not.

Production and décor

Stage, AV and branding scale with the room, not the headcount.

Staffing hours and gifting

Desk and liaison staff per shift; gifting per head and per tier.

Send dates, delegate count, city and scope, and an itemised proposal follows within 48 hours of the scoping call.

What clients say

Questions to settle before the budget meeting

Small events for 20 to 50 people typically run ₹2.5 to 8 lakh, mid-size events for 100 to 300 attendees ₹8 to 35 lakh, and large conferences can exceed ₹1 crore, depending on venue, production and hospitality scope. We quote itemised.

Meetings, incentives, conferences and exhibitions: delegate registration, hotel coordination, airport transfers and venue logistics at scale. Our RSVP systems, 20+ hotel partners and 150+ vehicle fleet make it a natural fit, from 50-person offsites to multi-day conferences.

Yes, end to end: invitations, RSVP tracking, registration desks, badge and kit handout, VIP protocols and live attendance reporting, with trained guest-relations staff at every touchpoint.

Offsites, town halls and annual days need four to eight weeks. Large conferences and MICE programmes with outstation delegates need three to six months to lock venues, hotel blocks and speaker logistics. Year-end dates book out early.

Bengaluru is our hub. For programmes anywhere else in India our coordination and hospitality leads travel with you, and we brief and run the local fleet ourselves. Tell us the city and the venue.

Give your delegates an event that feels effortless.

Share your dates, headcount and cities. Our team sends an itemised corporate proposal, typically within 48 hours.
